Administrative & Executive Support (m/f)

We are seeking a highly organized and proactive Administrative & Executive Support to support together our Group Operations Center and our Executives located abroad.

This dual role requires dynamic individuals who can efficiently manage office operations while providing executive-level administrative support. The ideal candidate will be detail-oriented professional with excellent communication skills, capable of multitasking and handling confidential information with discretion.

Responsibilities and Duties:

Administrative Support & Office Management:

· Oversee daily office operations to ensure a smooth workflow.

· Manage office supplies, inventory, and equipment maintenance.

· Coordinate with IT to address technical issues and ensure the functionality of office systems.

· Handle correspondence, including emails, phone calls, and mail.

· Maintain a clean, organized, and professional office environment.

· Plan and coordinate office events, meetings, and conferences.

· Ensure compliance with health and safety regulations.

· Manage office budget and expenses, including processing invoices and managing petty cash.

Executive Support:

· Provide high-level administrative support to senior executives located abroad.

· Manage executives’ calendars, including scheduling meetings, appointments, and travel arrangements.

· Prepare meeting agendas, take minutes, and follow up on action items.

· Draft, edit, and proofread documents, reports, and presentations.

· Handle confidential information with the utmost discretion.

· Assist with the preparation and coordination of corporate events and projects.

· Serve as a liaison between executives and other staff members.

· Conduct research, upload and compile data to assist with decision-making.

Qualifications:

· Bachelor’s degree in Business Administration, Management, or related field preferred.

· Proven experience as an Office Manager, Executive Assistant, or in a similar role.

· Exceptional organizational and multitasking abilities.

· Strong written and verbal communication skills.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

· Ability to handle sensitive information with discretion and confidentiality.

· Excellent problem-solving skills and attention to detail.

· Ability to work independently and as part of a team.

· Professional demeanor and a positive attitude.
