Office Manager / Executive Assistant

Job Overview:

Our company is looking to hire an office manager/executive assistant to be responsible for the general operation of our office. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies and taking proper inventory, and supporting administratively our Executive Directors. You will also be required to create presentations and produce management-level reports.

Responsibilities and Duties:

  • Overseeing general office operation.
  • Greeting visitors, answering of incoming phone calls and delivering world-class service to our customers.
  • Coordinating appointments and meetings for our Executive Directors.
  • Managing meeting rooms calendars and setups.
  • Coordinating domestic and international travel, including flights and hotels reservations.
  • Ensuring ad-hoc administrative support related to the needs of the team.
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Managing incoming and outgoing mails.
  • Creating presentations and other management-level reports.
  • Organising company internal events and with third parties.



  • 3 to 5 years of experience in office administration (in a Big Four or a Law Firm be a plus).
  • Office management experience will be a plus.
  • Relevant third level degree or professional qualification.
  • Excellent organisational and communication skills (written and spoken).
  • Ability to prioritize requests and switch from one task to the other.
  • Professional manners including confidentiality and discretion.
  • Ability to help and assist.
  • Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Fluent or native English is mandatory, German and French will be a plus.
